Privacy Policy

This Privacy Policy explains how iPropTrack (“we,” “us,” or “our”) collects, uses, shares, and protects information when you use our service at iproptrack.com (the “Service”). By using the Service, you agree to this policy. If you don't agree, please don't use the Service.
1. Information We Collect
We collect only the information we need to provide the Service.
a. Account information
- Name, email address, and profile picture, obtained from Google when you sign in with Google OAuth.
- A unique account identifier we assign to you internally.
- The date you signed up and your most recent activity timestamp.
b. Filings you track
- The U.S. patent or trademark numbers (and related identifiers) you add to your portfolio.
- Public USPTO data we pull on your behalf in connection with those numbers — including title, status, prosecution history, examiner information, registration dates, and document URLs.
- The deadlines we compute from that data.
c. Billing information
- If you subscribe to a paid plan, billing is handled by Stripe. We do not store your full card number on our servers. We do store a Stripe customer ID, your subscription tier, and high-level subscription status (active, past due, canceled, period end date).
d. Communications
- When you receive reminder emails or other notifications, we record that we sent them so we don't double-send. If you contact us by email, we keep that correspondence.
e. Technical and usage data
- Standard server logs: IP address, user-agent string, requested URL, response status, timestamp. We use these to operate, secure, and debug the Service.
- A small number of cookies and similar technologies — primarily the session cookie issued by our authentication provider so you stay signed in.
2. How We Use Your Information
- To provide the Service — sync your filings, compute deadlines, send notifications, and display your dashboard.
- To bill you and manage your subscription, through Stripe.
- To send transactional emails (sign-in confirmations, reminders, billing notices, security alerts).
- To secure the Service — detect fraud, abuse, and unauthorized access.
- To improve the Service — analyze aggregated usage trends and fix bugs.
- To comply with legal obligations and to enforce our Terms.
We do not sell your personal information. We do not use your information to train third-party advertising or machine-learning models.
3. How We Share Information
We share data only with a small set of service providers we use to operate iPropTrack. Each is bound by their own privacy policy and by contractual obligations to handle data responsibly.
- Google — for OAuth sign-in. Google receives your authentication request; we receive your basic profile information.
- Stripe — for payments. Stripe processes your card and stores your billing details under its own privacy policy.
- USPTO (Open Data Portal and TSDR) — we send queries on your behalf using the public patent/trademark identifiers you choose to track. These queries do not include your personal account information.
- Neon — our managed Postgres database provider. Your account and filing data is stored in a Neon-hosted database.
- Vercel — our hosting provider for the website and API.
- Resend — our transactional email provider for reminders and account emails.
We may also disclose information if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of iPropTrack, our users, or others.
4. Cookies
We use only the cookies strictly necessary to provide the Service — primarily an authentication session cookie. We do not use third-party advertising cookies or cross-site tracking.
5. Data Retention
We keep your account and filing data for as long as your account is active. If you delete your account, we delete or anonymize the associated personal data within 30 days, except where we are required to keep it longer for tax, accounting, fraud-prevention, or other legal-compliance purposes. Aggregated, de-identified data may be retained indefinitely.
6. Security
We use industry-standard practices to protect your data, including encryption in transit (HTTPS/TLS) and at rest, strict access controls, audit logging, and the principle of least privilege. No system is perfectly secure, however, and we cannot guarantee absolute security.
7. Your Rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct or update inaccurate personal information.
- Request that we delete your personal information.
- Object to or restrict certain processing.
- Request that we provide your data in a portable format.
- Opt out of marketing emails at any time (we do not currently send marketing emails, only transactional ones).
To exercise any of these rights, email info@iproptrack.com. We will respond within the time required by applicable law (typically 30 days). We will not discriminate against you for exercising your rights.
California residents (CCPA / CPRA)
California residents have the additional right to know what categories of personal information we collect about them and to opt out of any “sale” or “sharing” of personal information. We do not sell or share personal information for cross-context behavioral advertising.
European/UK residents (GDPR / UK GDPR)
If you are in the European Economic Area, the United Kingdom, or Switzerland, our lawful bases for processing are: (a) performance of our contract with you (to operate the Service); (b) our legitimate interests in securing and improving the Service; and (c) your consent, where applicable. You have the right to lodge a complaint with your supervisory authority.
8. International Data Transfers
Our service providers, including Neon, Vercel, Stripe, Google, and Resend, are based in the United States and may process data outside of your country. By using the Service, you consent to these transfers.
9. Children
iPropTrack is not directed to children under 16, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, please contact us so we can delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will update the effective date at the top of this page and, for material changes, provide additional notice (such as an email or an in-app banner). Continued use of the Service after a change constitutes acceptance of the updated policy.
